Important for Accepted Students: Final Departure & Visa Information

Bismillah

Firstly we would like to sincerely thank all of the accepted students - not simply for the sake of being polite – but for hanging on this long. You have been very patient up until this point, and because you have kept your composure for so long, we have to say that it makes trying to help you out a lot easier and much more enjoyable on our end. By the will of Allah, the time in which we can all personally meet up properly here in Madinah is not too far off, and we are really looking forward to it. Just keep making Dua’a for one another, and all of the anticipation definitely has it’s rewards.

  Online Profiles:
  • The university has opened up the temporary profiles for newly accepted students which can be accessed using your reference number. Click Here: http://admission.iu.edu.sa/IuAbroadInquery.aspx
  • Choose “UNITED STATES” from the ‘Select the Country’ tab
  • Click Show
  • Click on your respective name.
  • Type in your reference number found on your Acceptance Letter or  if you know it. DISCLAIMER: Do not try repeatedly because THREE (3) failed attempts will lock you out. ALSO: Some of you have managed to get through, but not everyone’s number seems to be working.
  • For those whose reference numbers do not work, you have a few options to work with:
  (Option #1)

  • Click the ‘forget appliction no.’ button and ignore the fact that the spelling is way off.
  • Use common sense to get through the buttons until you are asked a few questions which are based on the information that you submitted when you initially applied.
  • Ensure to answer those questions with same information that you submitted in your initial application – even if since then you changed your address, memorized more Qur’an, etc.
  • The purpose of the questions is for confirmation that you are not someone other than the one who applied.


  •   (Option #2)
  • Wait a little bit longer for your letter to reach you, after which you should be able to log in because the number is written on it.
  • IF you have moved since your initial application was submitted, then forget about waiting because it won’t reach you at your new address.
  • Instead, if you are able to, check with the people living at your old address to see if they have your letter.
  • Also, check the addresses of your references… One of the guys’ letters was sent to a local Islamic center in the past, so you never know.
  • Plus, check the post office…If no one is home when the letter arrives by express-post, it could be stored at the local post office.


  • (Option #3)
  • Send scanned copies of your photo, diploma, birth certificate, and passport to us (admin@madinahstudents.com) and we’ll go personally and take care of it from our end.

    Note: even if your passport has been renewed since you applied, send us a copy of your OLD one if that is the one that you used when you applied. Acceptance Letters:
    • They are  available online via your temporary profiles on the university’s website (see above).
    • After logging in to your profile, you may notice that the acceptance letter link does not work. Again, check it relatively frequently as the university should be updating it soon, in sha’aAllah.
    • The acceptance letters have been sent out by mail to the address that you provided to the university in your initial application.
    Status Change:
    • We have to wait for further details and will update everyone soon insha’Allah – this is a reminder as to why it’s important to contact us.
    Visa Numbers:
    • The university has announced that the visa numbers have just recently been released.
    • If you do not see them up –  it is expected that they will be up in less than 10 days.
    • Either way, you can start submitting your visa application packages and it’s important to contact the Saudi Embassy.Important: Please contact us if the Embassy is giving you trouble in terms of the actual location of your visa.
    • Before you give your papers to anyone, make sure you have copies of EVERYTHING just incase your papers get lost somewhere – with Saudi Embassy, it happens often enough to take precaution.
    • Some of your visas have been sent to your local Saudi Arabian Consulate instead of the Embassy in DC. This means your visa was sent to either NY, Houston, or Los Angeles depending on your geographic location and the information you submitted when you applied. Check your acceptance letter to find out where your visa will be and where you can collect it from.
    • Contact the people where your visa is located and ask them what they need exactly. This sounds strange but they may not request the same requirements to issue your visa.The University has released that the visa was issued December 26th and willl expire on Tuesday, February 7. - Please stay on top of your paper work and send your papers in a timely fashion.
    Student Visa Info:
    • All of this overhead is simply to have the Visa physically attached to your passport called a Student Visa.
    • This visa is your key to getting on the plane and clearing customs in KSA.
    • Unfortunately, it doesn’t give you a very long time-frame to work with before it expires – so make sure to submit your paperwork as soon as possible.
    • Once you do get your visa, you can enter the country at any point up until 11:59 pm on Feb. 6  …if you miss your assigned flight, then you will have to re-send your papers to the embassy and apply for a new visa AFTER we do some running around for you here on campus, AND you may not even be able to get through till next year… not nice, so don’t risk it… apply ASAP.
    Plane Tickets:
    • The university is still working through their lists and booking tickets for all of the new students.
    • Once everything is in place, your flight information should be posted on your online profiles.
    • We should have more flight information for you perhaps by sometime next week by the will of Allah.
    Miscellaneous Important Info:
    • We have not been able to contact all of the newly accepted brothers, if and when you do get a hold of any of them, please connect them to us so we can help them get everything together in time. We all have read about the huge blessing and reward that comes with seeking knowledge, so please keep that in mind because by helping others out, if you are sincere, then you get a share in it too by the will of Allah.
    • Everyone: If you find anything out, or you have a problem, or perhaps you find a solution to a problem, or maybe you have a suggestion or a comment, PLEASE don’t be stingy – share it with all of us and your fellow brothers.  Now more than ever, it is important that we work together to get through these final steps. It may be by posting your problem on our website, you’ll find that you are not the only one with the same issue. Seeking knowledge is not an every-man-for-himself, and neither are these preparatory steps… So to re-iterate, please make sure you keep everyone updated often enough.

      JaazkhAllahukair for all the assistance, it is deeply appricated!

      I just wanted to say that it was stated that some studets were having some small issues with there number they should enter in, once they have clicked on the respetive name. it should be noted that you enter your Application ID number that was gave when the application was done, NOT the number on the acceptance letter! But as the brothers mentioned there is some easy ways to get it inshaaAllah if you dont remember your application ID number!

      Ikhwaanee, firstly jazaakumullah khayran for your valuable effort in aiding the prospective students of the jaami’a.
      Secondly, it has now been 9 days since the visa’s were supposedly released (26th dec) and the “Printing Visa Number” link is still inaccessible. So I was wondering if that was the case for all the accepted students or just me!

      Asalamu alaikom brothers!

      I pray you are all rewarded for your help and efforts.

      My question is, on the Visa Application form which I need to submit to the Embassy, it asks for flight details such as departure date and arrival date. How would I fill out the Application form before my flight info is released?

      Lastly, the Embassy told me not to submit my documents until i have my visa authorisation number (which im waiting for to be uploaded onto the uni’s website). Should I keep waiting until then?

      Hope you are in the best state of Imaan and Health.

      To precede,I am one of the students admitted to the islamic uiversity for the acedemic year of 2012/2011. My question to you is whether you know any student that have been granted Visa number. Also, as i note from your post and many other sources that i have consulted and even the Europeans Affair department in the university i am convinced that the Visa number has been issued. In addition, on your post you indicate that for those who have not yet obtained the visa number that they will be able to do so in less than 10 days. Despite, all of the sources that fortifies the releasement of Visa number i can not see my Visa number on my online profile so could you please inform me whether this a dilemma that is only been experienced by me or also if it is an issue that is been experienced by those accepted for the acedemic year of 2012/2011. I will profoundly appreciate your assistence and i would like to thank you in advance for you and those involed in the project. Most of all may Allah(swt) be please with you and those involed in this fruitful project.

      assalaam walykum dear brothers. I would like to find out if you need a police clearance for when we apply for the visa or for when we arrive in madinah? Do we need one at all? Also do we have to get our ORIGINAL documents duly attested? or can we copy them and then get them duly attested?

        The police report is a visa requirement.

        You should get your original documents attested, if not possible or you are afraid the originals might get lost, get the copies attested. At any rate, you must bring the original documents with you to Madinah to complete your registration.

      The number’s have been released on the website alhamdullilah.

      Just wondering,
      it says there is 3 ticket numbers, and so far only 1 is visible. Do we need all of them or only 1 of them? also do we just give these to a travel agent?

        One number is enough. It is your reservation. You should contact the airline carrier and give them the number and they will take care of the rest.

      Just a heads up to the brothers who have been accepted in the USA, I looked online today and it seems that they have put up the visa numbers (at least mine is there).

      To the admins of this group- whats the next step? Contacting the embassy? Because I called and called (the whole previous week, and today) and no one answers. Please advise.

      Today I went ahead and sent my application through a travel agent in DC, abriggs. As for the reference number I did what I stated in my previous comment in order to receive the ‘reference page’ from the ministry of foreign affairs, I hope thats what they are looking for… Also the travel agent Abriggs said they would do the enjazit on my behalf. Basially they it was up to the embassy how long it would take to process the application, as little as 5 business days to as much as 3 business weeks.

      This was after I had no sucess in calling ms nisreen or the different consulate sections of the embassy.

      May Allah make the process smooth and easy for us all. Ameen
